Technology Troubleshooting Guide

Purpose of Recordings

Fullmind may record live online teaching sessions for the limited purposes of:

Supporting instructional quality and professional development;
Allowing students, relevant teachers and School Administrators to access missed lessons; and
Meeting compliance or audit requirements as permitted by law.

Recordings are considered educational records under the Family Educational Rights and Privacy Act (FERPA) when they contain personally identifiable information (PII) about one or more students.

Scope and Applicability

This policy applies to all recorded online teaching sessions that include students under the age of 18 and their teachers.

This policy covers the collection, use, storage, and disclosure of recordings that contain student or teacher information.

Notice and Consent

Student Participation: Parents/guardians (or eligible students aged 18 or older) will receive notice prior to any recording of online sessions.

Consent: Recordings that will be shared outside of the enrolled class or for purposes other than those listed in Section 1 will only occur with written parental/guardian consent, except where FERPA permits disclosure without consent.

Teacher Notice: Teachers will receive notice prior to any recording of online sessions.

Content of Recordings

Recordings may include:

Audio and video of the teacher and students;
Shared screens, instructional materials, or chat interactions;
Student names, images, or voices that are visible or audible during the session.

We strongly encourage teachers and students to avoid displaying sensitive personal information during recorded sessions.

Access and Use

Recordings will only be accessible to:

Enrolled students and their parents/guardians;
Relevant teachers and school administrators;
Authorized technical staff supporting the educational platform;
Other parties as permitted under FERPA (e.g., auditors, regulators, or in response to a court order).

Recordings will not be used for disciplinary, marketing, or public distribution purposes without appropriate consent.

Storage and Retention

Recordings are stored securely in a manner that complies with industry standards.

Access is limited to authorized personnel through authenticated credentials.

Recordings are retained only as long as necessary to fulfill their educational purpose or meet legal requirements, after which they are securely deleted.

Disclosure and Sharing

We do not share recordings with third parties except:

As required or permitted by FERPA;
With vendors or service providers who perform services on our behalf under a written agreement that ensures FERPA compliance and data protection;
With consent from a parent/guardian (or eligible student).
